Agile Tools provides free Planning Poker and Sprint Retro apps. This policy explains what data we collect, how we use and share it, and the choices you have. By using the apps, you agree to this policy. For questions, contact privacy@agile-tools.co.

Who we are

Agile Tools is operated by Agile Tools Co. We act as the data controller for personal data collected through our website and apps.

What we collect

• Account/session data: Name you provide for a session, session IDs, and role (facilitator/participant).
• Usage data: Actions in-app (e.g., votes cast, cards added), feature toggles, error events.
• Technical data: IP address, device/browser info, timestamps, referring pages (via server logs and Sentry).
• Cookies: Session cookies to keep you in a room, optional analytics cookies for Google Analytics (if enabled).

Why we collect it

• Run the apps (real-time sessions, reconnect, persist settings).
• Improve stability and security (monitor errors with Sentry, detect abuse).
• Understand feature usage (Google Analytics) to improve the product.
• Provide support when you contact us.

Legal bases (GDPR)

• Contract/legitimate interest: To deliver the service you request (run sessions, keep connections stable).
• Legitimate interest: Security, fraud prevention, debugging.
• Consent: Analytics cookies (where required by your region settings/browser consent).

Retention

Session data is retained only as long as needed to operate active sessions. Logs and error data (Sentry) are typically retained for up to 30 days. If you want us to remove specific data sooner, contact us.

All data entered into the platform (session content, participants, votes, and notes) is automatically deleted after 30 days.

Sharing and processors

We do not sell personal data. We use service providers to run the apps:

• Hosting: Infrastructure providers that serve the app and store logs.
• Sentry: Error and performance monitoring.
• Google Analytics: Optional product analytics.
• Real-time messaging: WebSocket connections handled by our servers using the Socket.io framework.

These providers only process data on our instructions and under appropriate safeguards.

Cookies

We use necessary cookies to keep you in sessions. Analytics cookies (Google Analytics) are only used where permitted by your settings. You can clear cookies in your browser at any time.

Your rights

Depending on your region, you may have the right to access, correct, delete, restrict, or object to processing, and to data portability. You can also withdraw consent where applicable.

International transfers

Data may be processed in the UK, EU, or US. Where required, we use appropriate safeguards such as Standard Contractual Clauses.

Security

We use encryption in transit (HTTPS) and restrict access to production systems to authorized personnel only.
